You implement Salesforce, now run your whole firm on it, end to end
You spend your days building Salesforce for other firms, and your own SOWs, hours and invoices deserve the same standard. DAY ONE installs onto the org you already run and carries each engagement from proposal to invoice as one operating app, so you use the platform you know instead of building and maintaining a tool for your own firm.
From signed SOW to sent invoice
One record in your org carries each SOW from the win to the final invoice, so sales, delivery and finance work from the same facts.
Win the work and record the SOW
The client, the opportunity and the work you proposed are recorded in your own Salesforce org, where your team already works, before anyone starts.
Billed: nothing yet.
How it worksScope and price the SOW
Set out the scope and the price as a fixed fee, a payment per milestone, hours or a retainer. Rates start from your Price List and the Engagement Rate. Once the client signs, the contract is locked, and a change is a new contract.
Billed: the pricing basis for each part is agreed here.
Scoping and QuotingBreak it into tasks and deliverables
A phase becomes tasks and deliverables, such as a discovery workshop, a data migration mapping or the test scripts, each with an owner, a due date and a priority. Work waiting on the client shows as blocked.
Billed: fixed-fee work accrues in work in progress, and a milestone once its completion is approved.
Delivery and TimeBuild, and log time to the task
Consultants, architects and developers pick up their tasks and log time from the task, at the rate for their role. Time is approved before it is billed.
Billed: approved hours at the role rate.
ResourcingReview and approve the invoice
Work in progress is logged against all the work, and reported by client and by business unit. A draft invoice is built from approved time, completed milestones and expenses, then approved by a manager and by Finance. The client Invoice Level, set at client, engagement or contract, decides how lines are grouped, and a contract can override it. Billing batches can run on a schedule for each client.
Billed: milestones, hours and expenses in one invoice run.
Invoicing and WIPSend it to your accounting system
The approved invoice goes to the client and your accounting system takes it from there. It stays your ledger.
Billed: nothing further. The ledger carries it from here.
Integrations
Run delivery on the board, in your org
Each phase breaks into tasks, each with an owner, a due date and a priority. A consultant finds the next task, opens its menu and chooses Log Time, so the hours start from the work. A task waiting on the client shows as blocked, so the delivery lead knows what to chase.
To do 4 tasks
- Configure the lead to opportunity flow
- Build the quote approval flow
- Prepare the data migration mapping
- Draft the user acceptance test scripts
In progress 3 tasks
- Run the discovery workshop for sales
- Set up profiles and permission sets
- Document the current sales process
Blocked 2 tasks
- Client's sign-off on the data model
- Client's list of integration users
How each kind of work is billed
Implementations, enhancements and managed services are sold differently. Each takes the basis that suits it, and all of them go through the same approvals.
Fixed fee for an implementation
One agreed price for a defined scope. Time is still recorded against it, and the fee accrues in work in progress while the work runs.
Milestone for each phase
Discovery, build, test and go-live billed as each is done. The completion is approved, then the milestone is billed.
Time and materials for enhancements
Hours at the rate for each role, from the Price List and the Engagement Rate, logged to tasks and approved before billing.
Retainer for managed services
The monthly work you hold a client for. DAY ONE tracks the unders and overs, and additional work is billed on top.
Expenses
Expenses are approved and billed in the same run as the time and the milestones.
Several in one engagement
An implementation, a support retainer and a later enhancement for one client can sit as separate contracts in a single engagement, each priced its own way.
Implement DAY ONE for your clients, or refer them
You already implement Salesforce for clients. With your own firm on DAY ONE, you can implement DAY ONE for them as well, or refer them to us. Ask about the partner route in the enquiry form.

What it means for each role in a Salesforce consultancy
Owners and directors: one view from sale to invoice
Each SOW is visible from sale to invoice, in the org your firm already runs. You run your own firm the way you advise clients to run theirs.
Delivery leads: one board for the team
Each phase has tasks with an owner and a due date, and consultants log time from the task. Waiting on the client shows as blocked.
Finance leaders: bill what each contract says
Follow an invoice line back to the approved hours and expenses behind it, and to the contract it was priced on. Work in progress reports by client and business unit.
Salesforce admins and architects: build for clients, not for the firm
An internal tool needs an admin to run it and a developer for every new feature. DAY ONE is a product built on Salesforce and installed onto your org, so that capacity goes to client work.
Questions from Salesforce consultancies
Can't see your question? Ask us directly.
Does DAY ONE install onto our existing Salesforce org?
Yes. DAY ONE for Salesforce works with your existing org. Each user needs a Salesforce licence in your org, and the Platform edition includes it. Deployment and permissions are reviewed with your Salesforce owner.
Why use DAY ONE instead of building our own tooling?
An internal tool is a product you have to run. It needs an admin to look after it, and every new feature is a build task taken from client work. DAY ONE already covers SOWs, tasks, time, work in progress and invoicing as a product built on Salesforce, so your team builds for clients instead.
What if our current tool does something DAY ONE does not?
Tell us what it is. Where DAY ONE covers the job, you can retire the tool. Where you keep another tool, the integration hub supports connecting it. We will say plainly which is which.
Is DAY ONE a full project management tool?
DAY ONE has enough to track the tasks, deliverables and time of an engagement, and the billing that follows, but it is not a full Jira-style project management tool. You can replace your current planning tool or keep it and integrate it: the integration hub supports both.
Can one SOW mix fixed fee and time and materials?
Yes. Fixed price, milestone, time and materials and retainer contracts can sit in one engagement. Milestone, time and expense work bills in one invoice run, and fixed-fee work accrues in work in progress.
Can we implement or refer DAY ONE for our clients?
Yes, you can do both. The route is a separate partner conversation, and the partner pages explain how it works. Ask about it in the enquiry form.
Does this replace our accounting system?
No. DAY ONE runs the client-work and invoicing record, and your accounting system stays your ledger.
Do we need Salesforce already?
On Salesforce; works with your Salesforce org, or available as a bundled edition if you don't use Salesforce.
